General Tour
and Charter Information
DEPOSIT / PAYMENT POLICY
A deposit is required to confirm
all reservations. Full payment is required no later than 2 weeks
prior to your departure date. If you book a full package tour,
see your contract for payment schedule. Details are provided
along with quote and contract. We accept cash, check or money
orders.
TRAVELING OUTSIDE THE USA
- All US citizens should have proof of citizenship in their
possession when leaving the country. Acceptable proof can
be a valid passport, original birth certificate or naturalization
papers.
- Those persons traveling to Canada, who are not citizens,
please check with the Canadian Consulate General at (212)
596-1700.
ITINERARY
USDOT regulations allow a maximum
15-hour workday, no more than 10 of which can be driving. If
your itinerary requires longer travel time, you can either schedule
a minimum 9-hour layover or a relief driver will be calculated
in the cost of your charter.
BAGGAGE
Each passenger is permitted to
bring one large piece of luggage for storage in the luggage
bay of the coach. A small bag, if carried by the passenger and
stored in the overhead racks on the coach, is permissible. Valuables,
important documents, and medications should be kept carried
in this carry-on bag.
SMOKING
In accordance with the law, we
ask that no one smoke onboard our coaches.
We provide comfort and/or meal stops en route which give opportunities
for smoking.
EATING
Because we like to keep our coaches
in exceptional condition for all our customers, we ask that
you discuss your specific requirements with us. We understand
that each group has different needs, so we will work with you
to create a mutually agreeable solution.
HOTEL ACCOMMODATIONS
Singles and Doubles are sold with
the understanding that there will either be one queen or king
bed, or two double beds in the room. Triples and Quads are sold
with the understanding that there will be two double beds, unless
otherwise specified. In some hotels, these accommodations are
two beds and a rollaway cot, or a bed and a pull out sofa.
ADJACENT ROOMS & SPECIAL
REQUESTS
Adjacent rooms and special requests
can be arranged at the time of booking, but cannot always be
guaranteed, depending on hotel availability at the time of your
tour's arrival.
TAXES & TIPS
Package tour prices include all
tips for bellmen, doormen, and provided meals unless otherwise
mentioned. Tips for Guides, Tour Directors and Drivers, are
not included in the tour price. Suggested guidelines
are:
- Driver: 10% to 15% of day trip cost OR $1-$2 per person per
day for multi-day tours.
- Tour Director/Guide (if applicable): $1.00 - 2.00 per person,
per day.
IF YOU MUST CANCEL
For Tour Package Bookings, individual
cancellations are not permitted unless Travel Insurance is purchased
by individual travelers. If Travel Insurance is purchased, cancellations
are permitted for covered reasons only (see Travel Insurance Schedule
of Coverages for details). Claims for refunds must be submitted
to Travel Insurance Company for processing. Deposit amounts used
to contract hotels, carriers, or other establishments, including
entertainment and event tickets, may be nonrefundable, as stipulated
by cancellation policies of individual establishments. In cases
where individual registration is required by contracted establishments,
those registrations may be non-refundable and/or non-transferable.
All cancellation charges or liquidation damages assessed by contracted
establishments will become the sole responsibility of the Customer
even if these assessments have not been specifically enumerated
to Customer. Fees for cancellation of tour packages will begin
at 20% of minimum contracted tour price and will ultimately be assessed
according to the specific tour package and the deposit requirements
of each contracted third-party.
For charter bookings, Spirit Tours
requires notice in writing. Changing trip dates is considered
a cancellation request. Cancellation notices for any
reason received more than thirty (30) days from the departure date
will result in a charge of the greater of $50 or 5% of the minimum
contracted price. Cancellation notices for any reason received
between thirty (30) and eight (8) days from the departure date will
result in a charge of the greater of $100 or 10% of minimum contracted
price. Cancellation notices for any reason received within
seven (7) days of the departure date will result in a charge of
the greater of $500 or 50% of the minimum contracted price.
